Privacy Policy — Glowr OS
This Privacy Policy explains how the Company collects, uses, and protects information when you use Glowr OS, our customer-relationship-management software for home-service businesses (the “Service”). By using the Service, you agree to this Policy.
1. Scope
This Policy covers the Glowr OS SaaS platform (web application, crew tools, and customer booking pages). It does not cover the Company’s separate consumer marketplace, which has its own privacy policy. If you are a customer of one of our business users (for example, you booked a service through their booking page), your information is controlled by that business, and this Policy describes how we process it on their behalf.
2. Information We Collect
We collect information you provide directly and information generated through your use of the Service:
- Account and business profile information: your name, email address, phone number, business name, business address, logo, and team-member details.
- Client data you manage in the CRM: your customers’ names, contact details, addresses, vehicle information, service history, notes, and communications you store in the platform.
- Pipeline records: leads, quotes, jobs, schedules, invoices, payment receipts, tips, commissions, and inventory records.
- Payment information: payments are processed by Stripe. We store transaction references, amounts, and card brand/last-four (e.g., “Visa •••• 4242”); full card numbers are handled by Stripe and are never stored on our systems.
- Glowr AI data: the content of your conversations with the Glowr AI assistant and the long-term memory entries the assistant stores to personalize its help.
- Integration data: data you authorize us to sync with third-party services you connect, such as QuickBooks customers, invoices, and payments.
- Usage and technical data: login events, device and browser information, IP addresses, and error logs used for security and troubleshooting.
3. How We Use Information
- To provide, operate, and maintain the Service, including your CRM pipeline (clients, quotes, jobs, invoices, payments).
- To sync data with integrations you connect, such as QuickBooks.
- To process card payments through Stripe and send transactional emails through Resend.
- To provide address validation and route optimization through Google Maps.
- To operate the Glowr AI assistant, including recalling conversation history and stored memories.
- To provide customer support, detect fraud or abuse, and keep the Service secure.
- To improve the Service using aggregated or de-identified data that cannot reasonably identify you or your clients.
4. Third-Party Integrations
When you connect an integration, the relevant data is shared with that provider under their terms and privacy policies, solely to perform the function you requested:
- QuickBooks (Intuit): customers, invoices, and payments you choose to sync, one-way from Glowr OS to QuickBooks.
- Stripe: payment details needed to process card transactions (currently in Stripe test/sandbox mode; live mode later).
- Resend: email addresses and message content needed to send transactional emails on your behalf.
- Google Maps Platform: addresses for validation and route optimization, and VINs for vehicle decoding.
- Hosting and database: your data is hosted on Supabase infrastructure.
5. We Do Not Sell Your Data
The Company does not sell, rent, or trade your personal information or your client data to third parties for their marketing purposes. We share data only as described in this Policy.
6. How We Share Information
- With service providers (subprocessors) that help us operate the Service, bound by confidentiality obligations.
- With integrations you explicitly connect, as described in Section 4.
- When required by law, court order, or to protect the rights, safety, or property of the Company, our users, or others.
- In connection with a merger, acquisition, or sale of assets, with notice to you.
7. Security
We use reasonable administrative, technical, and physical safeguards, including encrypted connections, role-based access controls, and secrets stored server-side (never exposed to browsers or client apps). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights: Access, Export, and Deletion
You may request access to, correction of, export of, or deletion of your account data at any time by contacting us at the address in Section 14. We will provide your data in a commonly used electronic format. Deletion requests are honored within 30 days, subject to legal retention obligations (for example, tax and accounting records). Note: where you manage your own clients’ data in the CRM, you are the data controller for that information; we process and delete it on your instructions.
9. Data Retention
We retain account and pipeline data for as long as your account is active and as needed to provide the Service. Backups may persist for a limited period after deletion. Aggregated, de-identified data may be retained indefinitely.
10. Children
The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. Beta Program
During the private beta period, the Service is provided free of charge and may change frequently. Beta testers are also subject to the Beta Testing Agreement and NDA where executed.
12. Changes to This Policy
We may update this Policy from time to time. Material changes will be communicated through the Service or by email, and the “Effective” date above will be revised. Continued use of the Service after changes take effect constitutes acceptance.
13. Governing Law
This Policy is governed by the laws of the State of Florida, without regard to conflict-of-law principles.
